Superbills and Insurance

Willowroot Acupuncture is a cash-pay, out-of-network practice and does not bill insurance directly or correspond with insurance carriers on behalf of patients.

If you have out-of-network acupuncture coverage, I am happy to provide an itemized Superbill (medical receipt) upon request that you can submit directly to your insurance company or Health Savings Account (HSA/FSA) for potential reimbursement.

How Superbills Work:

  • Direct Payment: Payment in full is due at the time of service.

  • Patient Self-Submission: You submit the superbill directly to your insurer via their member portal or mail.

  • Direct Reimbursement: All insurance reimbursements, claim correspondence, and Explanations of Benefits (EOBs) are sent directly to you at your home address.

Please note: Reimbursement rates and coverage depend entirely on your individual policy. Willowroot Acupuncture cannot verify benefits, guarantee reimbursement, or contact insurance companies regarding claim statuses or denials. If you rely on insurance reimbursement to cover your care, I recommend contacting your member services line prior to your first visit to confirm your out-of-network acupuncture benefits and submission process.

Cancellation Policy

Things happen and sometimes appointments need to be cancelled or rescheduled. Please provide more than 48 hours before your appointment time for cancellations. When you forget, cancel, or change your appointment with less than 48 hours notice I am generally unable to fill the appointment time.

  • If an appointment is cancelled with fewer than 48 hours notice, 50% of the appointment cost will be billed to the credit card on file regardless of the reason.

  • No call/no show appointments will be billed 100% of the cost of the appointment.

  • If I am able to fill your appointment time, your late cancellation fee will not be charged.

Habitual late cancellations or no-shows may result in client discharge at the practitioner’s discretion.

If you have a situation that prevents you from adhering to this cancellation policy, please discuss this with your practitioner to determine if Willowroot Acupuncture is a good fit.
